Microstar Keg Ordering SOP
End-to-end process for forecasting, ordering, receiving, and reporting Microstar keg cooperage.
- Forecast cooperage needs.
- Place the order in the Microstar portal using the brewops email account.
- Email the order number (from the portal) to the Microstar team, with Union CC'd.
- Microstar replies to the email thread with a Keg Release Authorization.
- Follow up with Union again to confirm the delivery date.
- Ping the brewers in Slack about the order.
- Once received and confirmed via paperwork, receive the order into the Microstar portal.
- Report outbound keg shipments at end of month.
Forecast the order using the Microstar Keg QTY and Cleaning Forecast doc, or a standard rolling quantity.
Log into Microstar with username brewops@threesbrewing.com (password in 1Password). Select Threes Brewing and click Operate For, then Order Kegs in the Customer Portal.
Fill in:
- Order Type: Local
- Keg types: Microstar Half Barrel, Microstar Sixth Barrel
- Date Needed: at least two days before the requested delivery date (Union will honor a one-day turnaround, but two days is ideal)
- Ship To: always 333 Douglass St, Brooklyn, NY 11217-3115
- Internal Name/PO # and Order Comments: not required
Submit once everything is entered and reviewed. You'll be returned to the home screen, where the new order appears under History with status "Accepted." Note the order number - you'll need it for the next steps.
Send an email requesting a Keg Release Authorization and alerting Union to the delivery.
- Subject:
Threes Brewing (Brooklyn) // MS Keg Request x/xx/xxxx (delivery date) - To: Logistics@microstarkegs.com, jedwards@microstarkegs.com, jared.edwards@microstarkegs.com
- CC: Sirivan.Sisouvong@unionbeerdist.com, brewers@threesbrewing.com, Miguel.Alatriste@unionbeerdist.com, eddie.potakey@unionbeerdist.com
Microstar will respond with a release form based on the order - follow up if you don't receive one.
Union often needs a reminder. Once the Keg Release Authorization arrives from Microstar, follow up with Union to confirm delivery by a specific date.
Post the confirmed order to #receiving-inventory in Slack, including quantities and expected delivery date, so brewers know cooperage is incoming.
Brewers should post a signed copy of the delivery paperwork (from the driver) to Slack, so ops knows it's been received. If it's not on the truck, follow up with Union.
Log into Microstar as above. A pop-up will ask whether to accept the order - click Acknowledge One or More of These. Fill in:
- Date Received
- Keg types received (1/2 and 1/6 barrel quantities)
- Foreign Kegs: usually 0, unless a non-Microstar keg is received
Click Submit, then Back to Customer Portal.
Log into Microstar as above, then select Report Outbound Shipments from the Customer Portal.
If cooperage doesn't arrive on the confirmed date, follow up with Union directly rather than waiting - don't assume it's just running late.
